1 Introduction

Akoma Hair, a business operated by Wintech Solutions ("we", "us", "our"), is committed to protecting the privacy and personal data of our customers and website visitors. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the rights available to you.

Governing law: This policy is prepared in accordance with the Data Protection Act, 2012 (Act 843) of the Republic of Ghana and is administered with regard to the Electronic Transactions Act, 2008 (Act 772) and the Cybersecurity Act, 2020 (Act 1038).

2 Who we are (Data Controller)

For the purposes of the Data Protection Act, 2012 (Act 843), Wintech Solutions, which operates the Akoma Hair business, is the data controller responsible for your personal data.

  • Company: Wintech Solutions
  • Trading as: Akoma Hair
  • Address: Suame
  • Email: info@akomahair.com
  • Phone / WhatsApp: +233245859086

Where required, we register as a data controller with the Data Protection Commission (DPC) of Ghana.

3 Information we collect

We collect only the personal data we need to process your orders and provide our services. This may include:

Information you give us

  • Full name and contact details (phone number, WhatsApp number, email address);
  • Delivery and pickup details (address, region, town, preferred pickup point);
  • Order details and purchase history;
  • Account credentials (where you register an account or agent login);
  • Communications you send us (messages, enquiries, reviews).

Information collected automatically

  • Device and browser information, IP address and approximate location;
  • Pages visited, items viewed and added to cart, and similar usage data;
  • Cookies and similar technologies (see Section 8).

We do not store full mobile money PINs or complete card numbers. Payment authentication is handled by our licensed payment partners (see Section 7).

4 How & why we use your data

In line with the purpose-specification principle under Act 843, we use your personal data to:

  • Process, fulfil and deliver your orders, and confirm payment;
  • Communicate with you about orders, delivery, and customer support (including by SMS and WhatsApp);
  • Operate your account and verify agents and customers;
  • Prevent fraud, secure our platform and comply with the law;
  • Improve our products, website and services;
  • Send you offers, promotions and product updates — only where you have agreed to receive them.

5 Lawful basis & consent

We process personal data on one or more of the following lawful bases recognised under the Data Protection Act, 2012 (Act 843):

  • Consent — which you may withdraw at any time;
  • Performance of a contract — to fulfil an order you have placed;
  • Compliance with a legal obligation — such as tax and record-keeping duties;
  • Our legitimate interests — such as preventing fraud and improving our services, balanced against your rights.

For direct marketing by SMS, WhatsApp or email, we rely on your consent, and every marketing message includes a way to opt out.

6 Sharing & disclosure

We do not sell your personal data. We share it only as necessary with:

  • Delivery and logistics partners — to deliver your order;
  • Payment service providers — to process payments securely;
  • Communication providers — to send SMS and WhatsApp notifications;
  • Technology providers — who host and maintain our platform under confidentiality obligations;
  • Lawful authorities — where required by Ghanaian law, court order or a lawful request.

7 Payments & mobile money

Payments (including mobile money and card payments) are processed by licensed third-party payment providers. These providers operate under the Payment Systems and Services Act, 2019 (Act 987) and applicable Bank of Ghana directives.

We receive confirmation of payment status and limited transaction references, but sensitive authentication details (such as your mobile money PIN or full card number) are handled directly by the payment provider and are not stored on our systems.

8 Cookies & tracking

We use cookies and similar technologies to keep you signed in, remember your cart, understand how our site is used, and improve your experience. You can control or delete cookies through your browser settings; however, some features (such as the shopping cart and login) may not work properly without them.

9 Data retention

We keep your personal data only for as long as necessary for the purposes set out in this policy, or for as long as required to meet legal, accounting and tax obligations under Ghanaian law. When data is no longer needed, we securely delete or anonymise it.

10 Data security

In line with the security-safeguards principle under Act 843 and the Cybersecurity Act, 2020 (Act 1038), we apply appropriate technical and organisational measures — including access controls, encryption in transit, and restricted staff access — to protect your data against loss, misuse, and unauthorised access.

If a data breach occurs that is likely to affect your rights, we will take prompt remedial action and notify you and the Data Protection Commission where required by law.

11 Your rights

Under the Data Protection Act, 2012 (Act 843), you have the right to:

  • Access the personal data we hold about you;
  • Correct data that is inaccurate, out of date or incomplete;
  • Request deletion of your data where there is no lawful reason to keep it;
  • Object to or restrict processing, including direct marketing;
  • Withdraw consent at any time, without affecting prior lawful processing;
  • Lodge a complaint with the Data Protection Commission of Ghana.

To exercise any of these rights, contact us using the details in Section 15. We will respond within the time required by law.

12 International transfers

Some of our service providers (such as hosting or messaging platforms) may process data outside Ghana. Where this happens, we take reasonable steps to ensure your data continues to receive a level of protection consistent with the Data Protection Act, 2012 (Act 843).

13 Children's privacy

Our services are intended for customers aged 18 and above. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can remove it.

14 Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows when it was last revised. Significant changes will be communicated through our website or other appropriate means.
